Position Overview

The Leave of Absence Specialist will be responsible for managing reported Family Medical Leave (FMLA), State Family Medical Leave (CFRA) and Company Personal Medical Leave (CPML) for union and non-union employees based on state and federal regulations and ensure that on-going claim management is within company process & policy. The position will assist in the establishment of standard policies, procedures and best practices to promote compliance within applicable laws and contractual obligations while acting as an expert in the function.

Job Description


  • Provide guidance to employees and managers on appropriate procedures and responsibility for leaves of absence.

  • Ensure accurate and timely processing of all FMLA Leave of Absence and/or disability paperwork as mandated by federal/state regulations and company policy.

  • Establish FMLA claims; track and code documentation in accordance with internal workflow processes

  • Analyze leave of absence utilization and trends to determine if usage is in compliance with federal/state regulations and company policy

  • Partner with third party leave administrator, workers compensation team, and corporate leave team to ensure that all leaves are appropriately documented and strategically managed according to company policy

  • Conduct interactive dialogue under the Americans with Disabilities Act and corresponding state laws; create appropriate documentation needed

  • Work with in-house counsel to ensure that leave process follows all applicable laws and any applicable CBAs

  • Communicate clearly and concisely with employees about case decisions and on-going expectations

  • Provide regular updates to HR and Operations team on leave of absence utilization and proactively advise managers on any potential issues and resolution

  • Identify and participate in continuous improvement initiatives to ensure workflows and communications and effective and delivered with a superior level of quality

  • Keep informed of changes to federal and state leave laws, FMLA, ADAAA, HIPAA, and other regulatory requirements relating to leave of absence.

  • Perform leave of absence audits to ensure data integrity

  • Special Skills: Ability to oversee multiple employee cases in a fast-paced, dynamic work environment; Ability to be organized, detail oriented and excellent time management skills is essential; Skills in critical thinking will be necessary to assist employees in finding leave solutions while balancing business needs; Professional phone etiquette, good listening skills, and excellent interpersonal skills are critical; Establish strong collaborative working relationships to build trust with business units, leadership, union representatives and internal leave/lost time subject-matter-experts; Excellent oral and written communication; Ability to work in a team environment; Ability to meet or exceed performance expectations; Ability to exhibit a strong sense of confidentiality and respect involving fellow employees absences; Ability to easily adapt to new technology and changes in internal processes; Be flexible and willing to take on new and additional projects as team dynamics and work load as needed

  • Other: Perform other duties as assigned or required

  • Other: Prior experience working with union employees is preferred; Familiar with timekeeping systems and payroll cycles is a plus

  • Other: Able to work a flexible schedule that may include fluctuating weekly start/end times and evenings

Years Of Experience

  • 2-5 : years of experience around State of California mandated leave plans, disability management and FMLA administration



Bachelor's Degree - Human Resources Management
